AP Specialist

CONDITIONS OF EMPLOYMENT: Associate’s Degree in accounting or finance and five years relevant experience or Bachelor’s Degree and three years relevant experience required. Normal working hours are Monday-Friday, 8:00 a.m.-4:00 p.m. Applicant should know the Travese accting system or another accting data entry program. Applicant will be responsible for preparing vendor checks and loan payments weekly. Maintaining accuracy of expense distribution by department. Maintaining the Accounts Payable schedule weekly, forwarding to Accounting Manager for review and Director of Finance for final review and approval. Preparing staff expense checks in conjunction with biweekly payroll. Entering appropriate department codes on expense and/or allocations as appropriate. Monitoring and submitting all employee garnishments in accordance by State and Federal law. Providing employees with necessary notifications. Ensuring individual time and attendance forms are received and provide email reminders to appropriate staff to obtain the necessary information timely. Reviewing individual information for accuracy and initiate reconciliation of errors with appropriate employee or supervisor. Entering attendance data in Traverse ITS database after reconciling time and attendance forms Assistting Payroll Coordinator to prepare checks and direct deposit transactions including: organizing and collating payroll checks and registers for distribution, including stuffing envelopes and organizing by program. Maintaining and review the general ledger weekly. Reconcile Balance Sheet accounts as necessary. Investigate and make corrections as needed. Maintaining current knowledge of agency policies and procedures, federal and state rules and regulations, and current accounting standards.

Experience in training individuals with disabilities and ISP documentation required. Valid driver’s license required. Regularly scheduled to work Monday through Friday, 8:00 a.m.-4:00 p.m. Provide training, coaching, mentoring and counseling in the areas of appropriate work attitudes, employability, work skills specific to individuals’ employment, social and communication skills, use of adaptive equipment and behavioral change in conjunction with rehabilitation specialists and others as appropriate. Maintain a safe clean and orderly environment. Provide personal care assistance when needed. Assist with individuals’ self help skills and utilize behavior management techniques in accordance with State of Virginia guidelines and MANDT behavior protocol. Demonstrate knowledge of each individual’s program in the designated group and implement goals and objectives as outlined in the ISP. Establish and maintain communication with parents, guardians, residential counselors, and other professionals regarding the individuals’ overall progress. Assist with record keeping and documentation including monthly progress reports, incident reports and attendance/time sheets.
